Recruitment & Selection Privacy Policy

This Privacy Policy denotes FIMBank plc’s committal to being transparent about how it collects and uses its candidate’s data in meeting its data protection obligations for recruitment and selection purposes. It delineates what to expect in relation to a candidate’s personal information which is collected, handled and processed.
We acknowledge and agree that any personal data that we handle will be processed in accordance with all applicable data protection laws in force from time to time. FIMBank plc adheres to the General Data Protection Regulations (“GDPR”), effective from 25 May 2018.

The Information we may collect

FIMBank plc may collect a range of information about you which includes (but not limited to):

 During the selection phase:

  • Personal data allowing identification of the candidate: title, surname, first name, date and place of birth;
  • Information provided by the candidate to contact the candidate and to allow the practical organisation of admission tests: street, postcode, place, country, telephone, email address;
  • Information provided by the candidate to allow the verifications of the eligibility and selection criteria as laid down in the vacancy: education and training, professional experience, linguistic and job related skills and competencies; 
  • Information about your current remuneration;
  • Information about your entitlement to work in the European Union.

During the recruitment phase:

  • Diplomas, certificates and complementary training;
  • Proof of previous employment and references;
  • Fit for work certificate;
  • Criminal record checks and Google searches;
  • Personal Identification number;
  • Payslip from previous employer;
  • Documents proving nationality and marital status;
  • Registration place of residence.

FIMBank plc may collect this information through your Curriculum Vitae (CV), your passport or personal identification number, or collected through interviews or other interview assessments.

Your personal data may also be collected from third parties, such as references from past employers.  We may seek information from third parties during interview stage and will inform you that we are doing so.

Data may be stored in a range of different places, including on your application record, HR Management systems and other IT systems (including email).

How we use the information and why we process your personal data

Your personal data is collected, held, used and disclosed internally for recruitment purposes only. We may use the information held about you in the following ways:

  • To consider your application in respect of a role for which you have applied;
  • To consider your application in respect of other roles; and
  • To communicate with you in respect of the recruitment & selection process. 

Who has access to your personal data?

Your personal data may be shared internally for recruitment purposes only. This includes members of the Human Resources team, the hiring manager / team leader / team member/s and employees who are involved in the recruitment process. 

Consent will be sought for reference checks and any psychometric questionnaire(s) if applicable.

Is my personal data protected?

We have internal polices and controls in place to ensure that your data is not lost, destroyed, misused or disclosed, and is not accessed except by the employees involved in the recruitment process. In addition to this, technological defensive systems are in place in order to prevent leaks of information to any unauthorised persons as well as personal security at FIMBank plc’s premises.

How long do we keep data?

If your application for employment is unsuccessful, FIMBank plc will hold on to your personal data on file for 6 (six) months after the end of the relevant recruitment process should future employment opportunities arise which may be suited to you, unless instructed otherwise by yourself. Should you wish to extend this period you would need to contact us by sending an email. At the end of this period, or once you withdraw your consent, your data is deleted or destroyed. 

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personal file which will be stored with the Human Resources team (electronic and paper) and retained during your employment.

What are your rights?

You have several rights in relation to the personal data that we hold about you. Your rights include:

  • The right to be informed about what data is being collected, how it is being used, how long it will be kept by us and whether it will be shared with any third parties.
  • The right to access a copy of any of your personal data.
  • The right to request that your information held by us be updated if it is inaccurate or incomplete.
  • The right to request that we erase your data in certain circumstances, such as when the data is no longer necessary, the data was unlawfully processed or it no longer meets the lawful ground for which it was collected. This includes instances where you withdraw your consent.
  • The right to request that we limit the way we use your personal data.
  • The right to obtain your personal data and reuse it for your own purposes across different services. This information however only relates to that data provided to us by yourself by means of a contract or consent.
  • The right to object to the processing of your personal data that is collected by us in our legitimate interests or on the satisfaction of an obligation in the interest/exercise of an official authority.

Changes to our Privacy Policy

This privacy policy may be changed by FIMBank plc at any time.  Any changes or updates to our privacy policy will be prominent on our website.
