Administration Supervisor

This is an excellent opportunity to join a dynamic team. We are currently in the process of recruiting an Administration Supervisor who, is self-motivated, trustworthy and is capable of prioritising working with minimal supervision.

Main Duties

Procurement:

  • Develop and manage relationships with strategic suppliers to optimise financial and operational performance.
  • Approve purchase orders, invoice settlements and all procurement related activities including the resolution of performance and delivery issues.
  • Assist in the preparation of the department budget and review the monthly utilisation by category.
  • Issue and manage the bid/request for quotations process for products and services.

Administrative Services:

  • Plan internal and external events from start to finish according to management requirements.
  • Ensure helpdesk requests are resolved swiftly and main system updates.
  • Assist in the preparation of scheduled reports including the departmental monthly dashboards.
  • Update and maintain policies, procedures and manuals on a periodic basis and ensure that a suitable filing system is in place.
  • Assist in research, preparation, and written documentation for special projects, presentations and meetings.

Insurance Desk

  • Liaise with the Bank’s insurance brokers, manage all general and specialist insurance policies.
  • Ensure premiums are paid on time, and administer all claim handling and coordination of proposal form compilation.
  • Plan, organise and monitor insurance related activities/projects and ensure that deadlines are met.

Competencies

  • The responsibilities of the position require a person who is able to work on his/her own initiative, has strong organizational, problem-solving, and able to manage priorities and workflow.
  • He/she needs to possess very good written and verbal communications skills and have at leastthree years related experience in an administrative role ideally with some exposure to insurance programme management.
  • The applicant should be in possession of a university degree or another suitably-related qualification. Willingness to update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks.
